Okupia

Rental invoicing and payment records

Okupia issues invoices, records the money received and keeps the status of every invoice accurate. Payments are verified by your staff against the bank statement, so you stay in full control.

What you get

  • Invoices come from the rental flow

The first invoice is issued at check-in. A deposit that has been paid automatically reduces the first rent invoice.

  • Transparent breakdown

Subtotal, discount, tax, total, amount paid and balance are clear, with the payment history. Invoices can be printed as PDF.

  • Proof of payment from the tenant

Tenants upload their transfer proof from the Customer Portal or from the link in the invoice message, without needing an account for that link.

  • Verification by staff

A payment stays pending until staff match it against the bank statement. Once verified, the invoice becomes paid or partially paid.

  • Overdue flags

Invoices past their due date are marked overdue, and the Arrears Report shows ageing to help with collection.

  • Deposit and its refund

At check-out, Okupia calculates the deposit that can be returned after deductions, then records the refund.

How it works

  1. 1

Invoices are issued from the rental flow (check-in, extension or unit transfer) or created by staff, and the tenant is notified.

  2. 2

The tenant pays by transfer, cash or QRIS, then sends proof, or you record the payment.

  3. 3

Staff verify the payment. The invoice status is updated and the tenant receives a confirmation.
